Academic dropout is one of the main challenges faced by Higher Education Institutions (HEIs), affecting social and educational indicators as well as institutional sustainability. This article examines the strategic role of the Academic Office in preventing dropout, moving beyond its traditional bureaucratic function. The aim is to show how academic data management and monitoring can serve as preventive tools for student retention. This qualitative and exploratory research was based on bibliographic and documentary review, considering recent studies on university management and educational data analysis. Findings indicate that records such as irregular attendance, partial withdrawals, and requests for course syllabi enable early identification of at-risk profiles, allowing targeted interventions before dropout occurs. It is concluded that the transition to a data-driven Academic Office, integrated with program coordinators and student support services, is essential for developing effective strategies of student support and retention, redefining the role of academic office professionals in the success of the academic journey.
