The organization of academic documentation is one of the fundamental pillars of educational management in higher education, responsible for ensuring the legality, transparency, and reliability of academic acts. In a context marked by the expansion of higher education, the increase in the number of students, and the intensification of institutional evaluation processes, document management plays a strategic role in higher education institutions. This article aims to analyze the main challenges related to the organization of academic documentation, as well as to discuss best practices that contribute to administrative efficiency and institutional quality. The research is qualitative, exploratory, and descriptive, based on bibliographic review and document analysis. The results show that the absence of institutional document management policies, lack of standardized procedures, and insufficient professional training are recurring factors that compromise the organization of academic records. It is concluded that the implementation of integrated document management policies, combined with the strategic use of information technologies, is essential for strengthening academic governance.
